Levelrow help

How posting works

Levelrow writes one journal entry per Shopify Payments payout, using the accounts you confirm. Each payout shows the deposit, the posted entry and the difference.

Comparing connection methods? Read the Shopify QuickBooks connector comparison before switching. Do not let two connectors post the same dates.

Set up the first entries

  1. Open Levelrow from Apps in your Shopify admin and connect the US, USD QuickBooks company that keeps this store’s books. Multi-currency companies are not supported.
  2. Choose the bank account where Shopify payouts arrive.
  3. Review the suggested account for each line type. Confirm the accounts you want Levelrow to use.
  4. Choose a backfill range and post it. Core includes 60 days; Plus and Scale offer up to 24 months when Shopify has granted access to older orders.

After setup, Levelrow checks for new payouts every hour. Each entry uses the date Shopify issued the payout and a memo identifying that payout.

When a payout has a difference

Open the payout in Levelrow. An amount with no mapped account is left out of the entry and shown as a difference. Choose an account for this payout only, or add the type to your map and repost the affected payouts.

A rounding difference of up to $0.05 can be accepted when that option is enabled in Settings. Levelrow records who accepted it. Accepting does not change the journal entry; posting a rounding line does.

When an entry cannot be posted

Read the reason on the payout. If a mapped account is inactive, reactivate it in QuickBooks or choose another account. If the connection has ended, reconnect the same company. The payout stays visible while posting is paused.

Changing an account

Saving the account map creates a new version. Existing entries keep their original accounts until you choose to repost them. Reposting removes Levelrow’s entry and writes a replacement; any bank-feed match on the removed entry must be checked again.

What needs a separate step

Levelrow does not confirm bank-feed matches or file tax returns. Sales tax is posted to your chosen liability account; the journal entry does not update the QuickBooks sales tax centre. Third-party gateways are summarised monthly into clearing accounts on Plus and Scale, with fees recorded from the gateway’s statement.

Continue to matching the bank feed, or contact support with the payout date and entry number.
